Office Cabling Survey: Data Outlets, Cabinet and Handover Plan
An office cabling survey establishes what work is needed at each location before estimating cable lengths. Desk layout, data outlets, cabinet location, routes and handover records belong in the same plan. Comparing quotations only by their total price can conceal differences in scope that emerge later.

What information should you prepare before the survey?
Prepare an up-to-date floor plan, work areas and the existing cabinet location. List devices needing a connection, including IP phones, printers, cameras and access points as well as computers. Do not assume that they all need the same access permissions or power method. Passive cabling and switch, VLAN and Wi-Fi configuration are separate scope items.
For an office move, record working hours, shared-area permissions and potential clashes with other refurbishment work. A route drawn on a plan is not necessarily usable in the wall or ceiling. Exact duration and material quantities cannot be established without checking site access and the existing installation.
List data outlets together with their intended use
The following table is an original requirements-gathering example by Quad Bilişim, not a mandatory standard form or a completed customer project. Adapt the sample codes to your floors and rooms. Record unconfirmed locations as requirements to verify, not completed work.
| Location | Use | Information to verify during the survey | Handover record |
|---|---|---|---|
| Room-A / Desk-01 | Work computer | Desk position and outlet to use | Outlet-to-panel mapping |
| Meeting room / AP-01 | Wireless access point | Mounting location, link and power requirements | Link ID and measurement record |
| Shared area / Y-01 | Network printer | Device location and network scope | Label and connection list |
Assess more than empty space in the cabinet
Plan space for patch panels, cable management and active equipment together. Existing device dimensions, maintenance access and expected additional links affect the decision. Ventilation, power distribution and earthing should be assessed with appropriately qualified specialists; this is not an electrical installation guide.
If devices use PoE, consider the cabling survey alongside the switch power budget assessment . For access point locations, also consult the office Wi-Fi placement guide . A tidy cabinet alone does not prove wireless coverage or link performance.
Ask for the product family and documentation, not just the brand
A brand name on a quotation does not establish that every component is compatible with the intended system. Request product codes and technical documents for the cable, outlet modules, patch panels and patch cords. Manufacturers such as Leviton assess product codes and installation conditions together in their system documentation. Compare components and installation scope on equivalent lines across quotations.
Do not treat a manufacturer system warranty as synonymous with a materials or workmanship warranty. Confirm the required products, installation conditions and records in writing. Mentioning a brand does not imply that Quad Bilişim is its authorised reseller or certified installer, or that a particular warranty period is offered.
Define testing and handover records before work starts
Rather than accepting the phrase “tested” at handover, agree how link IDs, measurement scope and result files will be matched. Fluke Networks describes a permanent link as the fixed cabling section, excluding the patch and equipment cords at the ends. A channel assessment covers a broader connection. The distinction matters when identifying what was verified.
The same manufacturer’s test-limit guidance stresses matching the selected limit to the correct adapter. A device brand or a single screen result cannot replace a measurement with the correct scope. State the intended test type and deliverable format in the agreement; a qualified installer should select the technical parameters for the requirements.
Keep the requirements list, installed-link mapping, labeling plan, agreed test results and excluded work separate in the final file. For example, adding a desk link to an old plan without an explanation makes later support harder. Recording the change date and identifying the current version turns the handover file into a maintained infrastructure record.
Frequently asked questions
Is the number of employees enough for a survey?
No. Device types, locations, routes, existing infrastructure and handover expectations must also be recorded.
